There are different scenarios for generating and retrieving manuals:
Case 1:
After a process has been released, the generation of the manual pdf is triggered automatically with a slight time delay. In viewer mode, this pdf can then be retrieved via the manual icon.
When the user generates the manual via the manual icon in the editor mode, he always receives a .docx file, which can be found initially behind the info button
If a user wants to access the already generated pdf in the editor mode, it can be found at the process in the Detail Content under "Manuals".
Case 2:
If master data used in the process has a new version, these changes will not automatically be available in the already existing manual pdf. For this the user can generate new pdf's in the editor mode via the version dialog -> "Generate documents".
This will take into account the manual templates set up to that point and all existing manual pdfs of this process will be removed and regenerated/created.
Viewers and editors can then retrieve the most recent manual pdf via the manual icon.
Case 3:
If a new manual template is added to the manuals from the admin menu that was not available when the process was released, then an option to generate the manual is also displayed for the viewer (as a .docx, as described in Case 1, Editor Mode).
If this is undesirable and the viewer should see a pdf instead of the generate option, this must be created in advance by a user in editor mode via "Generate documents", as described in Case 2. Then the "Generate" in front of the process manual type in the selection menu (viewer mode) is no longer visible and the viewer accesses only the already created pdf.
